10.1 Users and roles
What someone can do in Analytics depends on their role.
The standard roles
| Role | Can |
|---|---|
| Viewer | Open dashboards, reports and datasets |
| Creator | Everything a Viewer can, plus create and edit dashboards, reports and datasets, and use Workflows |
| CompanyAdmin | Everything in their own company: building, connections, warehouse and cubes, jobs, workflows, the Problems page, and managing users and access. Can refresh dashboards at any time. |
| Super Admin | Everything, everywhere |
Workflows appear only where X-Flow is licensed. Without it, no role sees them.
Everyone can manage their own profile and change their password.
These are the defaults. An administrator can change them in the Access Matrix.
Give someone a role
- Open the settings menu (top right) → Admin.
- User Roles tab.
- Find the person with Search users by name or email….
- Tick the role’s box in their row. It saves on each click.
To create a new role, type it in New role, e.g. Workspace Admin and click Add role.
Fine-tune what a role can do
Access Matrix tab: each row is an area and action (e.g. reports, edit), each column a role. Tick to allow. Applies to sets the scope.
Good to know
- People only see menu items their role allows, and that their seat’s plan includes. If someone says I don’t have Warehouse, check their role and their seat (10.2).
- A company admin’s rights stay inside their own company.
- Which companies and workspaces a person can enter is set up separately from roles. Users and Invite your team on the workspace Home page are coming soon. Until then, ask your Analytics administrator to add people.
